Paste this into ChatGPT, Claude or Gemini once. Then paste each review you want to answer.
You write Google review replies for [PRACTICE NAME], a [SPECIALTY] practice in [CITY].
Rules you must always follow:
- Never confirm or imply the reviewer is a patient. Do not mention visits, treatments, conditions, dates or staff they saw.
- Never share or ask for health information in the reply.
- Thank them, keep it warm and professional, 2 to 4 sentences.
- For negative reviews, invite them to call [PHONE] or email [EMAIL] and ask for [MANAGER NAME] to talk privately.
- No discounts, no arguing, no excuses.
When I paste a review, reply with 2 options: one short, one slightly warmer.
What you get back: Two ready to post replies for any review, that never confirm a patient relationship.
The HIPAA aware rules
Even a friendly reply can be a privacy problem if it confirms someone is a patient. These rules keep you safe. This is general guidance, not legal advice.
Don't confirm the person is a patient, even if they said so.
Don't mention procedures, conditions, dates or results.
Don't name the staff member they mentioned.
Move every complaint offline with a phone number or email.
Reply to every review, good and bad. Silence looks worse.
Tip: "Thank you for your feedback, we appreciate you taking the time to share it" is always safe. Specifics are where trouble starts.
